@dziner, so I just emailed Cyan@overland expo about admission. We know as volunteers that we get free admission to the expo but I asked if that covered Biltmore admission too and if so, are they going to know who we are at the main entrance to give us passes to get in.

BTW, looked over the packet, we need to be in there by 5pm if we're going to camp at Biltmore that night so I think I-81, expeditiously, is the right answer. If we link up in/around southern Winchester around 7, that ought to put us in good time to get there before 5pm. Plus, its mid week and mid-day so traffic shouldn't be too bad going down.
Yep, when we first get there we'll need to check-in at the gate. They will give is a pass of some kind so that we can enter the gate at any time (for when we leave the site). I'm pretty sure we're able to tour the Biltmore as well. The best time to do that will probably be mornings and before the weekend if possible. The Biltmore staff working at the entrance are super helpful. I wasn't able to tour the Biltmore last year because of weather and my schedule. Hopefully that isn't the case this year.

Also, last year I was on a motorcycle which I have since sold. I made the trip in two days with Roanoke as the half-way point. We should be good with time if we keep a consistent pace, avoid any traffic, and keep our rest stops brief and efficient.

I've been invited by Schutt (XVenture trailers) but am thinking about doing the whole weekend and camping. If not a vendor/exhibitor, on what day can attendees start camping? It's not clear from what official info I've been able to see while on the road. I see people saying they are showing up on Wed, some on Thurs, but they're mostly exhibitors or volunteers.

Can I as full tuition pkg get in on Thurs?

I'll have my new XV-2 trailer and Bunduawn 360, etc. . .

NOTE: Ahh, finally found it. Not always easy on mobile devices to nav the myriad pages for a tiny detail. They don't mention it under the Overland Experience (full tuition pkg) details, but do under the Weekend Pass With Camping details:

"Camping is available between Thursday evening until Monday morning; you are welcome to arrive any day; all sites are on a first-come basis."

Depending on where you check in for weekend camping, you can do so at 11:30 or 12 noon on Thurs.

Just heard back from Cyan and she said we don't have to pay for entrance to the Biltmore. We do definitely need to be there before they close at 5pm or we will not be able to get in until the next morning.

Yep, that's so we can meet with the Biltmore staff outside the entrance (group sales I believe) to get our info. They are super helpful, but they close at 5pm. So we need to get there to get our passes that let us through the gates at any time.

I'm excited. I bought my ticket and coming up early Saturday morning.
I'm most interested in seeing vendors and getting ideas for future stuff.

@dziner, So did some map recon this weekend. We talked about meeting up just south of Winchester. I think I got the spot: There is a sheetz in Stephens City on the south bound side of -81. Across the street from it is a Dunkin Donuts. Both are literally right off the highway probably 1/8th of a mile. Address is 747 Fairfax Street, Stephens City. VA. this is probably about 5 miles south of Shenandoah University and all the Winchester Traffic. If you are still looking at leaving at 5am from Harrisburg, then we can plan to meet around 7-730ish at this spot. I am coming from between Baltimore/DC so it'll take me about two hours as well. I remember you saying you're bringing a dog so you may need to stop along the way.

-break-

for anyone else in the Baltimore/DC area leaving Wednesday morning, you're welcome to meet up with us. I am leaving Columbia, MD around 0500. I was planning on shooting up 70 toward Frederick, MD then jumping on 340 toward Winchester (Still better driving than going the beltway and then 66 thru DC).

Thanks.

Let us know when you're inbound. send me a PM with your cell # and we can direct you to where we will be at. @dziner doesn't start work until Thursday afternoon so he can likely direct you. I'll be starting work bright and early Thursday morning.

Just a heads up for everyone. Last year cell reception was very limited in the camping area via AT&T at least. It is basically in a valley so I wouldn't count it. There was a tent for wifi in the vendor section or you could drive around to town.

See you there!

Looks like im the only one this far north taking off Wednesday morning. I'll keep an eye on things here and see if I catch up to anyone leaving a little later further south.

Yes, I start my shift Thursday afternoon so I can most likely help anyone with camp setup Thursday morning. I'll send you a PM with my contact info.

So true. FRS radios could be handy to communicate within the event.
